Codehornets Inc. respects your privacy. This policy explains what information we collect through our website and consultation forms, why we use it, and the choices available to you.
Internal visit alerts
When you open a public page, we receive a limited internal email with the first public page observed in the session, the time, the referring site, sanitized campaign parameters, your browser language, device type, browser and operating system, screen size, and an approximate location (city, region, country) and network provider estimated from your IP address. This operational alert runs regardless of your optional analytics and advertising choices. A temporary session identifier prevents repeated alerts when you refresh. Server-side keyed hashes of that identifier and your IP address limit duplicate and abusive alerts; raw IP addresses and contact details are not included in the alert. This does not identify you by name or subscribe you to marketing.
Information we collect
When you request a consultation, we collect your name, email, workflow challenge, optional phone and company, and available campaign attribution. We save your request and may transfer it to our Outreach360 (Saleshornets) customer relationship system for follow-up. Customer Reply Kit enquiries also collect your business name, reply needs, AI experience, preferred delivery language, optional current AI tool, and the requested offer with its price and currency. Please do not submit customer records, passwords, or sensitive data; redacted examples are requested only after scope review. Coaching requests are stored in Base44 and an internal email notification helps us follow up. An enquiry does not subscribe you to marketing campaigns.
Optional measurement
You can accept or refuse website analytics separately from advertising measurement using Privacy settings. When enabled and configured, Google Analytics measures visits and funnel actions, Microsoft Clarity provides masked session recordings and heatmaps, and Google Ads and Meta measure advertising conversions. These tools load only after the corresponding choice. Form details are masked in recordings and excluded from our analytics events. We remember privacy choices for up to 180 days and consented campaign attribution for up to 30 days. You may withdraw permission using Privacy settings.
How we use information
We use this information to respond to your request, prepare a relevant workflow recommendation, arrange a meeting, improve our website and advertising, maintain security, and comply with legal obligations. We do not sell your personal information.
Legal basis and consent
We process consultation-request information with your consent and to take steps you request before a potential engagement. You may withdraw consent at any time, although we may retain limited records when required for security, legal, or accounting purposes.
Sharing and service providers
We may share only the information needed with providers that support hosting, analytics, scheduling, communications, and customer relationship management. These providers process information on our behalf under their own security and privacy commitments. We may also disclose information when required by law.
Retention and security
We keep enquiry information only as long as reasonably necessary to respond, manage a potential or active engagement, measure our marketing, and meet legal requirements. We use reasonable administrative and technical safeguards, but no online service can guarantee absolute security.
Your choices and rights
You may ask to access, correct, or delete your personal information, or withdraw marketing consent. Québec and Canadian privacy laws may provide additional rights depending on your circumstances.
